A 60-Minute Church Staff Meeting Agenda

A repeatable agenda that protects prayer, decisions, ownership, and follow-through without consuming the week.

A good staff meeting should create shared clarity, make the decisions that require the room, and leave every next step with an owner. Status updates that do not need discussion belong in writing before the meeting.

The agenda

  1. 0:00–0:08 — Prayer and people: pray for specific people, pastoral needs, and the week ahead.
  2. 0:08–0:15 — Wins: name where you saw life change, progress, generosity, or a team member living the values.
  3. 0:15–0:25 — This Sunday: surface only the cross-team issues, decisions, and risks that require the room.
  4. 0:25–0:43 — One priority: work the single most important leadership question on the agenda.
  5. 0:43–0:53 — Decisions and dependencies: record what was decided, what is blocked, and which teams affect one another.
  6. 0:53–1:00 — Owners and prayer: repeat every action with one owner and due date, then close in prayer.

Send this before the meeting

  • Key metrics or attendance notes that only need to be read.
  • Department updates with no requested decision.
  • The one priority question and any context people need.
  • A short list of decisions the team may need to make.
  • The prior meeting’s action list with current status.

Ground rules

  • If it can be handled by two people afterward, park it and name those two people.

  • End on time; unfinished work becomes a named follow-up, not an invisible assumption.
